IPA collects information about you in the following ways:

1. User-Provided Information:

  • Meeting Registration Forms: When you register for events through IPA, we ask for: First Name, Last Name, Title, Company, Telephone, Email, Business Address, Emergency Contact Name and Phone, Badge Name, and other related data such as meeting sessions, meals, and receptions you wish to attend. Additional data may be requested depending on the event.
  • Membership Information: If you are a member, we collect firm level information (provided by a designated contact at the firm), including Company Name, Telephone, Business Address, Website, and other company demographics (i.e., industry type, AUM, CER, assets sold, etc.). Demographic questions are specific to our membership types (Asset Manager, Distribution Partner, Industry Partner). The firm may provide us with information on their affiliated employees or you may be directed by your firm to complete a member profile upon membership being confirmed.

2. IPA Collected Information:

  • Device and Browser Information: When you visit the IPA website, your browser automatically sends certain data such as browser type, language preference, operating system, internet service provider, IP address, device identification number, geo-location data, and online browsing information like pages viewed, features used, and links clicked.
  • Cookies and Web Beacons: We use cookies (small text files stored on your device) to improve your experience on our website. Web beacons are small images used to track the effectiveness of our website and emails.
  • Tracking Tools: We use third-party tools such as Google Analytics, LinkedIn tracking pixels, and others to gather data on how visitors interact with our site.

3. Information We Receive from Other Sources:

  • Third-Party Sources: We may receive information about you from other sources to improve our communications with you (Google Analytics, UTM codes, etc.).

4. Filming and Photography

Personal photos and videos are permitted in common public areas outside the sessions. The speakers and the Institute own program content and it may not be distributed without prior permission. Consequently, the distribution, duplication, or piracy of speaker and/or Institute materials and session content for profit is prohibited. Attendees who ignore this policy will be at risk of losing their badge credentials.

Any requests for filming or photography in a session, regardless of purpose, must be submitted in writing at least seven business (7) days in advance of the meeting. These requests will be approved at the sole discretion of the Institute staff.

The Institute reserves the right to record, photograph, use, and distribute (royalty-free, both now and in the future) any attendee's image, name, and voice in all forms and all media including, without limitation, photographs, electronic reproductions and transmission of images and audio files, webcasting, and any other uses on the internet for any and all lawful purposes. When registering for the offering, all attendees grant the Institute the right to use their name and likeness. If you do not want to be filmed/photographed on-site, tell the individual filming/photographing on-site.

5. Media

The “press” is defined as any media organization that regularly engages in journalistic reporting. Members of the press are not exempt from the Institute’s policies and must abide by all rules and regulations associated with the event.

Press credentials must be requested in writing in advance of the event. If approved, journalists will receive appropriate credentials for specific needs. Violation or abuse of any policies will result in the reporter’s credentials being revoked and being banned from future Institute events.

Approved journalists (reporters with press credentials from the Institute) may utilize recording devices. However, reporting may not interfere with any sessions. Recordings are for use by the reporter only for news stories and are not to be reproduced or distributed in any other way unless approved by the Institute staff.

How the IPA Uses Your Information

We use the information we collect about you and your firm for the following purposes:

  • To customize communications with you and provide personalized content, offers, and advertising.
  • For administrative purposes such as assisting with registration, responding to inquiries, and providing event-related information.
  • To improve our services through market research, trend analysis, and other operational activities.
  • To display content on our website and social media channels, including stories and photos.
